Terms & Conditions

These Terms and Conditions explain the general rules governing access to the Kapsule Summit website and use of our conference, creative, technology and professional services.

Last updated: October 15, 2026

Please read these Terms and Conditions carefully before using our website or engaging our services. By accessing the website, you agree to these terms to the extent permitted by applicable law. Separate written agreements, event-specific rules, quotations and service terms may also apply to particular engagements.

1. About Kapsule Summit

Kapsule Summit provides conference and event coordination, graphic design, branding, website development, Python development, email and workflow automation, digital marketing, research and data support, and other professional services offered through our business.

In these terms, “Kapsule Summit”, “we”, “our” and “us” refer to the organization operating this website and providing the relevant service. “You” and “your” refer to a website visitor, client, participant, applicant or other person using our services.

2. Website Use

You agree to use this website lawfully and in a manner that does not interfere with its security, availability or proper operation.

You must not:

  • Use the website for unlawful, fraudulent or deceptive purposes.
  • Attempt unauthorized access to accounts, systems or information.
  • Introduce malicious software or interfere with website operations.
  • Copy, misuse or redistribute protected content without authorization.
  • Submit information that you know is false or misleading.
  • Use our website or services in a way that violates applicable law or third-party rights.

We may take reasonable steps to protect the website and its users from misuse, subject to applicable law.

3. Our Services

Kapsule Summit may provide services in several professional areas, including the following:

  • Conference, seminar and event coordination.
  • Speaker, delegate, abstract and programme administration.
  • Graphic design, branding and promotional materials.
  • Website design, development and maintenance.
  • Python programming, software tools and workflow automation.
  • Email campaign setup and authorized communication support.
  • Digital marketing, research and data management support.
  • Other services agreed upon with individual clients.

The availability, scope, price and delivery timeline of each service may vary. A proposal, quotation, statement of work or separate written agreement may define the specific terms applicable to an individual project.

4. Conference and Event Participation

Conference participants must follow the instructions, eligibility requirements, deadlines and programme details published for the relevant event.

  • Submission of an abstract does not automatically guarantee acceptance.
  • Acceptance of an abstract does not necessarily complete registration.
  • Presentation formats and schedules are subject to event-specific arrangements.
  • Participants must provide accurate registration and submission information.
  • Participants must follow applicable event conduct and presentation guidelines.
  • Changes to schedules, speakers, formats or venues may occur where reasonably necessary.

Any material event changes will be communicated through appropriate channels where reasonably practicable. Event-specific terms take precedence over these general terms where they expressly address the same subject.

5. Registration and Payments

Fees, payment methods, registration categories and applicable deadlines will be communicated through the relevant event page, quotation or written confirmation.

  • Customers must review the applicable fees before making payment.
  • Payment instructions should be obtained from an authorized source.
  • Customers should retain payment confirmations and receipts.
  • Third-party payment providers may apply their own terms and charges.
  • Taxes, bank charges and currency conversion costs will be handled as disclosed and required by law.

A registration or service request will be treated as confirmed only in accordance with the applicable event or project terms. We will not treat an unverified payment as received merely because a payment instruction has been issued.

6. Cancellations, Refunds and Changes

Cancellation, rescheduling, refund and transfer conditions may differ between conferences and professional services. The applicable written policy provided at the time of booking or purchase will govern, subject to applicable law.

Before making a payment, please review the relevant event-specific refund policy, service agreement or quotation.

Where a refund is approved, processing time may depend on the payment provider, banking system and applicable legal requirements. We will communicate relevant information where reasonably practicable.

Nothing in these terms excludes a refund, cancellation right or other remedy that cannot lawfully be excluded. These general terms do not promise that every payment is refundable or that every payment is non-refundable.

7. Client Projects and Deliverables

For design, development, automation, marketing and other client services, the agreed scope, price, milestones, revision limits and delivery arrangements should be recorded in a quotation or written agreement.

  • Clients must provide accurate information and required materials.
  • Clients are responsible for ensuring they have rights to materials they supply.
  • Project timelines may be affected by delayed approvals, missing content or changes in scope.
  • Additional work outside the agreed scope may require a separate quotation.
  • Clients should review deliverables and communicate requested changes within the agreed review period.

Delivery dates, technical specifications, maintenance, support and acceptance criteria will depend on the relevant project agreement.

8. Intellectual Property

Unless otherwise agreed in writing, the website’s original branding, text, graphics, layouts and other materials owned by Kapsule Summit remain subject to applicable intellectual property rights.

Clients retain rights to materials they own and provide to us. Clients authorize us to use those materials only as reasonably necessary to deliver the agreed services.

Ownership and permitted use of custom designs, source code, software, websites, project files and other deliverables should be specified in the relevant written agreement. Third-party libraries, fonts, images, plugins and other licensed resources remain subject to their respective licence conditions.

No ownership transfer or broad usage licence should be assumed beyond what is expressly agreed or provided under applicable law.

9. User Content and Responsibilities

You are responsible for ensuring that information, abstracts, photographs, documents, designs and other materials you submit are accurate and that you have the necessary rights and permissions to provide them.

You must not submit material that unlawfully infringes intellectual property rights, violates privacy, contains unlawful content or otherwise breaches applicable law.

We may restrict or remove content where reasonably necessary to address legal obligations, security concerns, third-party rights or misuse of our services.

10. Email, Automation and Marketing Services

Email campaigns, mailing-list management, data processing and automation services must be used only for authorized, lawful purposes.

  • Clients must have an appropriate legal basis for supplying contact data and sending communications.
  • Marketing messages must comply with applicable consent, identification and opt-out requirements.
  • Clients must not use our services for spam, fraud, phishing or deceptive communications.
  • Clients must authorize access to relevant accounts and systems.
  • Automation outputs and generated data should be reviewed for accuracy before important use.

We do not guarantee that every email will be delivered, opened or accepted by a recipient’s email provider. Third-party platforms may impose additional restrictions.

11. Internships and Recruitment

Internship listings, job advertisements and recruitment communications are subject to the specific description, offer letter and written terms issued for the relevant role.

A website enquiry or application does not by itself guarantee selection, employment, an internship, a stipend or a particular duration of engagement.

The role, compensation, responsibilities, working arrangements, confidentiality obligations and termination conditions will be governed by the applicable offer letter or agreement and relevant law.

12. Third-Party Services and Links

Our website or services may rely on third-party hosting, email providers, payment processors, video platforms, website plugins, analytics services and external websites.

These providers may have separate terms, service levels, security practices and privacy policies. We do not control all third-party systems and cannot guarantee their uninterrupted availability or performance.

Your use of third-party services may also be governed by agreements between you and those providers.

13. Disclaimers

We aim to keep website content accurate and useful. However, information published on the website may be updated, corrected or changed over time.

Unless expressly agreed in writing or required by law, the website is provided on an availability basis without a guarantee that it will always be uninterrupted, error-free or compatible with every device or system.

Conference programmes, third-party services, technical tools and project outcomes may depend on factors beyond our reasonable control. Any specific service warranties will be governed by the applicable written agreement.

14. Limitation of Liability

To the extent permitted by applicable law, Kapsule Summit will not be responsible for indirect or consequential losses arising from website use or service interruptions where such exclusion is legally permitted.

Nothing in these terms excludes or restricts liability that cannot lawfully be excluded or restricted, including any mandatory consumer rights or other non-excludable legal obligations.

Any additional liability limits, exclusions or remedies applicable to a paid service must be set out in the relevant agreement and comply with applicable law.

15. Suspension and Termination

We may temporarily restrict access to the website or suspend a service where reasonably necessary for security, maintenance, suspected misuse, non-payment or legal compliance, subject to applicable contractual obligations and law.

Termination of a paid project, registration or other engagement will be governed by its applicable agreement and relevant cancellation, refund and notice requirements.

16. Changes to These Terms

We may update these Terms and Conditions to reflect changes in our services, website functionality or legal requirements.

The updated version will be published on this page with a revised update date. Where required, we will provide notice or obtain agreement before applying material changes to an existing engagement.

17. Governing Law and Dispute Resolution

These terms are intended to operate subject to the laws applicable to the relevant relationship and transaction. Mandatory consumer protection and other applicable legal rights remain unaffected.

Before initiating formal proceedings, the parties may seek to resolve a dispute through good-faith communication. Nothing in this provision removes any right to pursue a remedy before a competent authority or court.

The appropriate governing law, jurisdiction and dispute resolution provisions should be confirmed for the actual legal entity operating Kapsule Summit and its relevant client and participant agreements.
